PRIVACY POLICY:

TERMS & CONDITIONS

When you supply your personal details to The Body Therapist UK they are stored and processed for reasons listed below. The sections in BOLD AND UNDERLINED are the relevant terms used in the Data Protection Act 2018, which includes the General Data Protection Regulation:
 

  1. We need to collect personal information about your health in order to provide you with the best possible treatment. Your requesting treatment and our agreement to provide that care constitutes a contract. You can, of course, refuse to provide the information, but if you were to do that we would not be able to provide treatment.

  2. We have a “Legitimate Interest” in collecting that information, because without it we couldn’t do our job effectively and safely.

  3. We also think that it is important that we can contact you in order to confirm your appointments with us or to update you on matters related to your medical care. This again constitutes “Legitimate Interest”, but this time it is your legitimate interest.

  4. Provided we have your consent, we may occasionally send you general health and clinic information in the form of articles, advice, emails or newsletters. You may withdraw this consent at any time – just let us know by any convenient method.

  5. From time to time, we may use pictures, captions for marketing and social media promotion. The picture may include you as a client, but should and would not include facial identification. If such promotion needed the use of facial identification consent would be gained. 


We have a legal obligation to retain your records for 8 years after your most recent appointment (or age 25, if this is longer), but after this period you can ask us to delete your records if you wish. Otherwise, we will retain your records indefinitely in order that we can provide you with the best possible care should you need to see us at some future date.

Your records are stored*

 

  1. On paper, in locked filing cabinets, at the clinic/offices, which are always locked out of working hours.

  2. Electronically (“in the cloud”), using an online cloud based service. This provider is fully compliant with the General Data Protection Regulations. Access to this data is password protected, and the passwords are changed regularly.

  3. On our clinic/office computers/laptops. These are password-protected and backed up regularly.


We will never share your data with anyone who does not need access without your written consent. Only the following people/agencies will have routine access to your data:

• The medical records service who store and process our files

• Your Therapist/Practitioner(s) in order that they can provide you with treatment

• Our administrative and bookkeeping/accounting staff, because they organise our Therapist(s) diaries, coordinate appointments/reminders and help organise the financial data (but they do not have access to your medical history or sensitive personal information). These staff will not have access to your medical notes, just your essential contact details.

• We also use Wix Bookings, Wix ShoutOut and MailChimp to coordinate our bookings, marketing and messages, so your name, telephone number and email address may be saved on their server. This provider is fully compliant with the General Data Protection Regulations, and further information can be found on:

From time to time, we may have to employ consultants to perform tasks which might give them access to your personal data (but not your medical notes). We will ensure that they are fully aware that they must treat that information as confidential, and we will ensure that they sign a non-disclosure agreement.

You have the right to see what personal data of yours we hold, and you can also ask us to correct any factual errors. Provided the legal minimum period has elapsed, you can also ask us to erase your records.

We want you to be absolutely confident that we are treating your personal data responsibly, and that we are doing everything we can to make sure that the only people who can access that data have a genuine need to do so.

Of course, if you feel that we are mishandling your personal data in some way, you have the right to complain. Complaints need to be sent to what is referred to in the jargon as the “Data Controller”. Here are the details you need for that:

If you are not satisfied with our response, then you have the right to raise the matter with the Information Commissioner’s Office.

PACKAGES (sports massage and rehabilitation x3, x5, x8, x10)

Please note that all packages purchased cannot be purchased with any other offers and the business has the right to withdraw any discounts at any time. Please note that all packages must be used within a 3 month period and will expire after 3 months from the date of purchase. Sessions not taken within the 3 month period will not be refunded. At the discretion of the business, the business can offer to honour the remaining session(s). Packaged sessions are discounted at the advantage of saving the customer money per session, however, the sessions must be taken within a prompt time frame.

COVID-19

​

For the health and safety of staff members and patients we have introduced measures in place to limit the transmission of COVID-19. There will be heightened cleaning regimes, increased personal protection equipment measures, social distancing measures, pre-screening for risk before public/patients visit the clinic. All details are available on our website and further information available on request. Your Therapist will also be in contact within 24 hours of your appointment to go through pre-screening questions.

Patient specific information, if you have any further questions please contact us before your appointment. It will be expected of the following:
Use of face mask – single use or reusable, IF YOU DO NOT OWN ONE THEN YOU CAN PURCHASE A MASK FOR A FEE.
Please bring your own towel(s) for use during appointment,
Bring own bottle of water if needed,
Avoid touching or minimising touch of surfaces,
Washing hands on arrival and before exiting the premises where possible - hand sanitiser will also be available.

2.
Travelling to the clinic: Patients are asked to avoid using public transport where possible to avoid contamination or transfer of infection control. Where possible, if you are using public transport, there will be time allocated to change clothing before session, so please bring clean clothing to change into. There will be allocated space for clothing to be stored until patient has a need to wear 'arrival clothing', if they need to wear the 'arrival clothing' again. If not, please bring a bag to tie and leave within the allocated space. There is parking available for patients to drive to the premises.

3.
Use of waiting/common areas: please turn up promptly to your appointment to reduce time in the waiting area, if use of waiting area is needed please respect all Government guidelines.

4.
Staff will encourage contactless payment instead of cash, or to use Bank Transfer where possible and patients will be told prior to their appointment.

5.
Chaperones/Guardian: One parent/guardian only with visits for children/vulnerable adults. No additional family members except if requested as a chaperone will be allowed to enter the premises. Chaperones will also be asked pre-screen questions and communicate the risks staff prior to the session going ahead.

Please note:
Appointments are booked in staggered times, this allows for 1 patient to be within the clinic and waiting rooms at any 1 time, but this could sometimes overlap given cleaning time and early arrival of patients. Treatment adaptations and techniques may be need to avoid or restrict unnecessary close proximity or touch, if you are not happy with this please address this with your Therapist.
